How Benefi Benefit Administrators collects, uses, and protects the information you provide through benefiba.com. Last updated August 2026.
What we collect about you
When you submit a form on this site we collect the information you type into it: your name, company, email address, phone number, and whatever you tell us about your group. We also collect standard web server information such as your browser type and the pages you visit.
What we collect about your employees
One page on this site — the census builder — asks for information about people other than you. It is the only one, and it is worth being precise about what it does and does not ask for.
It asks for four things about each eligible employee, and each dependent they cover: date of birth, gender, home ZIP code, and the person’s relationship to the employee. It also records whether the employee is enrolling or waiving. Nothing else.
It does not ask for names. Employees are identified on that page by number. It does not ask for Social Security numbers, member or policy ID numbers, addresses beyond the ZIP, salaries, or anything at all about anyone’s health, medical history, prescriptions or claims. Please do not enter any of those. If we need them later — and for enrollment we will eventually need names — we will set up a channel built for it rather than ask through a web page.
We ask for these four because a carrier cannot produce a firm quote without them. Date of birth and gender drive the rate. The home ZIP is a network adequacy requirement: a plan has to give the people covered by it reasonable access to care where they actually live, and that cannot be checked from the employer’s address alone.
You do not have to send it through this website. The same page will build the file and hand it straight back to you, without transmitting anything, so you can get it to us however your own policies require.
How a submitted census is handled
A census submitted through this site travels over an encrypted connection and is delivered into Benefi’s own authenticated account with our hosting provider, and to Benefi’s own business mailbox. It does not go to anyone else.
We use it to obtain quotes, which means giving it to the carriers we approach on your behalf, for underwriting. That is the only onward disclosure, other than where the law requires one.
Retention. If you do not become a client, we delete the census once the quoting cycle it belongs to is finished, and in any case within twelve months. If you do become a client, it becomes part of the plan record we administer for you and is kept as long as we administer the plan, then disposed of securely.
You can have it deleted sooner. Email info@benefiba.com or call (920) 243-4006 and say so. We do not require a reason.
The employer submitting a census is responsible for having the authority to share that information with a broker acting on its behalf, and for telling its employees that it has done so. We are happy to help you word that.
How we use it
We use what you send us to respond to your request, to obtain quotes, and, if you become a client, to administer your benefit plans. That is the whole purpose.
What we do not do
We do not sell your information. We do not rent it. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. We share information with carriers, payroll providers, and service vendors only to the extent needed to administer a plan on your behalf, or where the law requires it.
Protected health information
Where Benefi acts as a business associate under HIPAA, protected health information is handled under the terms of the applicable business associate agreement and HIPAA’s privacy and security rules, not under this policy.
Cookies
This site uses only the cookies needed to make pages work. We do not use advertising cookies or cross-site tracking.
